Secretary – Teaching & Learning Department

 

This position reports to:  Directors of Advanced Academics, CTE, and Early Childhood

Assists in attaining district objectives by ensuring that office management is conducted effectively and efficiently.

Major Responsibilities and Duties

  1. Assists the Directors of Advanced Academics, CTE, and Early Childhood, as well as the other members of the Teaching and Learning staff as needed.
  2. Assists in the entering of and follow up on maintenance orders for the Teaching & Learning department.
  3. Anticipates and prepares materials the directors need for conferences, meetings, trainings, appointments, telephone calls, etc.
  4. Schedules administrative staff meetings and appointments and maintain an administrator's calendar.
  5. Assists in maintaining the reservation system for all training rooms assigned to the Teaching & Learning department.
  6. Assists in providing proper set up of training rooms for all Teaching & Learning sessions.
  7. Provides support and answers questions related to District issues from district staff or the general public including the preparation and sending of student (current and former) transcripts.
  8. Performs general office procedures, including formatting of documents, filing, mailing, duplication of materials, data processing, and editing.
  9. Maintains the recordkeeping of department budgets including Early Childhood, CTE, and Advanced Academics.
  10. Prepares and follows up on all Purchase Orders for Teaching and Learning departments including travel and travel reimbursements for district staff as assigned.
  11. Prepares and edits correspondence /reports for the directors.
  12. Assists with processing department reports and documents directed by the directors.
  13. Maintains general office files: save/store required documents per policy and administrative procedures.
  14. Creates and maintains spreadsheets to document and track department initiatives.
  15. Greets visitors with professionalism and courtesy.
  16. Maintains and assist with the operation of office equipment/machines as needed.
  17. Adheres to department procedures regarding confidentiality.
  18. Other duties as assigned.
